What working with Legacia actually means for your family.
There are many ways to handle estate paperwork. Legacia offers something specific: a methodical, impartial record-keeping service with no hidden interests and a defined scope at every stage.
Back to homeSix things that distinguish how Legacia works
These are not marketing claims — they are descriptions of how the service is structured and what families can expect when they engage Legacia.
No conflict of interest — ever
Legacia is paid a fixed fee for a defined piece of work. It does not earn commission, does not refer to third parties and has no financial interest in any decision the family makes about the estate.
One named administrator per file
Every client is assigned a named administrator at the start. That person knows the file, handles correspondence and can be reached by telephone during working hours — no handoffs, no call queues.
Written outputs a professional can use
The catalogue, index or summary Legacia produces is written to be shared directly with a solicitor, accountant or trust officer. It does not need to be explained or translated before it can be useful.
A reference system you can follow
Every item receives a reference code that appears on the physical folder, the digital file and the written catalogue. When a solicitor asks for a specific document, the family knows exactly where to look.
The pace the family sets
There is no pressure to move quickly. Work can begin immediately or wait until the family is ready. Appointments can be rescheduled. The engagement does not impose a timeline on grieving people.
Secure handling throughout
Digital copies are stored on encrypted media. Physical originals are collected with a written receipt, secured during the project and returned in the order received. Nothing is retained beyond the service period.
Expertise built from years in the field
The Legacia team brings direct backgrounds in document management and estate administration. This is not a generalist administrative firm that has added estate records to its menu — it is the only thing Legacia does, and has been since 2018.
- Archival standards applied to every project
- Staff trained in document handling and data protection
- Experience across properties of varying complexity
Practical digital capabilities
Archival-resolution scanning, encrypted storage and consistent digital naming conventions mean the record Legacia creates can be shared electronically with professionals, stored securely for years and accessed without physical retrieval.
- Archival-resolution scans (minimum 300 dpi for text documents)
- Consistent file naming across all project outputs
- Encrypted delivery media with printed index
Service shaped around what families actually need
Enquiries are welcome at any stage — before a family has worked out what they need, in the middle of a complex situation, or after other attempts at organisation have stalled. The first conversation is exploratory and carries no obligation.
- Initial consultations by telephone or in person
- Work scope agreed in writing before any visit
- Retainer clients can contact their administrator directly
Fixed fees, described in advance
Each service has a published price. There are no hourly rates that grow unexpectedly, no add-ons billed separately and no fees for telephone calls within the scope of the retainer. The family knows what the work will cost before it begins.
- Household inventory session: RM 950
- Records consolidation project: RM 2,480
- Twelve-month administrative retainer: RM 4,600
What families take away from the work
The output of every Legacia engagement is a usable record. Not a pile of scans with no index, not a folder of notes only one person can interpret — a written document with a clear structure that the family and their professional advisers can read and act on.
How Legacia differs from the alternatives
The table below describes how Legacia's approach compares with what families typically encounter when trying to organise estate records through other routes.
| Feature | Typical approach | Legacia |
|---|---|---|
| Dedicated to estate documentation | Rarely — usually part of a broader offer | Only service offered |
| Fixed fee disclosed before work begins | Hourly billing common | Published fixed price |
| No referral fees or third-party interests | Not always transparent | None — full stop |
| Named administrator for the duration | Rotating staff typical | Same person throughout |
| Reference code system applied to all items | Informal or absent | Consistent across all outputs |
| Originals returned with written receipt | Variable practice | Standard on every project |
| Written output shareable with professionals | Often internal only | Designed for professional use |
What Legacia offers that is hard to find elsewhere
A reference code system applied consistently across physical and digital records
Most estate record services produce either physical or digital outputs. Legacia applies the same reference code to both, so the family can move between the printed catalogue and the digital archive without losing track of anything.
A written note of what appears to be absent, not just what was found
On consolidation projects, Legacia includes in its written output a section describing categories of document that one might reasonably expect to find but that were not located. This is often as useful to a solicitor as what was found.
A service designed for the family representative, not for the estate
The administrative retainer supports the person who has taken on the paperwork — whoever that is — not the estate as a legal entity. The administrator helps that individual manage their own correspondence, appointments and document packs.
Work that can pause without penalty
If circumstances change — a family dispute, a health matter, a period of intense grief — the work can pause and resume without additional charges or a new contract. The file is held as it is until the family is ready to continue.
