Before any work begins, the scope is agreed in writing. The family knows what will be covered, how long it will take and what format the output will take. There are no surprises on the invoice and no activities outside the agreed brief.
During the work, the family's documents and possessions are handled under a clear protocol: received with a written acknowledgement, recorded consistently using the Legacia reference code system, and returned in the same order they arrived.
The written output is reviewed by a second member of staff before delivery. For catalogue work, entries are cross-checked against photographs. For consolidation projects, the index is checked against the physical folder set before either is handed over.
Once delivered, the family owns the output entirely. Legacia does not retain copies of documents or retain the work product for its own purposes beyond the service period.
Household Inventory & Cataloguing Session
A half-day visit producing a written inventory of a household's documents and notable possessions, recorded item by item with a short description, location, condition note and photograph. Covers papers, jewellery, timepieces, books and furnishings as directed by the family. No values are assigned and no view is offered on ownership or distribution; the output is a factual record the family can take to their own qualified professional.

Estate Records Consolidation Project
A project that gathers documents held across several homes and relatives into one indexed archive. Includes collection, archival-resolution scanning, consistent naming, an indexed table of contents, a duplicate physical folder set, and a written description of what the archive contains and what appears to be absent. Runs four to seven weeks depending on volume. Delivered on encrypted storage with a printed index; every original is returned to the family in the order it was received.

Administrative Support Retainer for Family Representatives
A twelve-month arrangement supporting the relative who has taken on the paperwork after a death in the family. Covers a maintained document register, a correspondence log with dates and reference numbers, appointment scheduling, clerical preparation of packs from information the representative supplies, and monthly written summaries. Includes a named administrator and telephone support during working hours. Clerical and organisational work only — the service never advises, never signs and never acts on the family's behalf.

Scanned documents stored on encrypted media. Client data handled in accordance with Malaysia's Personal Data Protection Act 2010 throughout.
Written receipt for every collection
A written acknowledgement is issued when documents are collected. Originals are returned in the same order received, with a completion note confirming return.
Two-stage review of all outputs
Each written catalogue, index or summary is reviewed by a second member of staff before delivery. Catalogue entries are cross-checked against their corresponding photographs.
Consistent reference code system
Every item recorded under any service receives a reference code that appears on the physical label, the digital file and the written output — so cross-referencing is straightforward.
No opinion on content or value
Staff do not comment on the value, ownership or intended use of anything recorded. Legacia's brief is description only — the decisions belong to the family and their advisers.
