Legacia opened its doors in Damansara Heights in 2018, founded by two colleagues who had spent years working in document management and estate administration respectively. Between them, they had seen the same problem recur: when a family member died, the paperwork was rarely in one place, rarely labelled consistently and rarely understood by the person who had been asked to deal with it.
Solicitors, accountants and trust officers all needed documents — but none of them had the time or the brief to first locate, sort and describe what the family actually held. That gap was where Legacia began.
The practice focuses exclusively on the clerical and organisational side of estate documentation. It does not provide legal advice, financial advice or any kind of professional opinion on the content of what it records. Its job is to produce a clear, accurate, well-organised written record that the family — and their own qualified professionals — can actually use.
Since opening, Legacia has worked with families across the Klang Valley, handling everything from a single afternoon's inventory of a family home to multi-month consolidation projects spanning properties in several states. The approach has stayed the same throughout: methodical, patient and free of any pressure to make decisions before the family is ready.
The team is small by design. Each client has a named administrator who knows the file and can be reached directly. There are no handoffs to other staff mid-project, and no automated systems handling sensitive family documents.
Legacia is based in Kuala Lumpur and serves families throughout Malaysia. All work is conducted in English. Enquiries are welcome from families at any stage — including those who are still working out what they have and what they need.

Impartiality
Legacia has no interest in the outcome of any estate matter. Its role begins and ends with producing a written record.
Patience
The pace is set by the family. Work can pause, resume or be rescheduled without penalty. No urgency is manufactured.
Precision
Every item recorded is described carefully and consistently. Reference codes are applied so the record remains useful over time.

Written outputs use straightforward language. The record is meant to be read and used, not filed and forgotten.

Reza has spent fifteen years in document management and brings a background in archival standards to every project. He leads the consolidation and cataloguing work.
Hui Lin Tan
Co-founder & Client Relations Lead
Hui Lin's background is in estate administration. She handles client onboarding, initial consultations and ongoing retainer arrangements, and is the first point of contact for new enquiries.
Amira Sulaiman
Senior Records Coordinator
Amira coordinates multi-site collection projects and maintains the reference coding system used across all client files. She holds a diploma in records management from Universiti Malaya.
How we handle the work
Encrypted digital storage
All scanned documents are stored on encrypted media and handled according to Malaysia's Personal Data Protection Act 2010. No copies of original documents are retained beyond the agreed project period.
Reference code system
Every item receives a unique reference code applied consistently across physical folders, digital files and written outputs. Codes are structured, readable and designed to remain useful as the file grows.
Originals returned in order
Physical documents are collected with a written receipt, stored securely during the project, and returned to the family in the same order they were received, with a completion note.
Data protection compliance
Legacia operates in accordance with the Personal Data Protection Act 2010 (Malaysia). Client information is held only for as long as the service requires and is not shared with third parties.
Two-stage review
Each written output is reviewed by a second member of staff before delivery. Catalogue entries are cross-checked against photographs to reduce the chance of transcription errors.
No unsolicited opinion
Staff do not comment on the content of what they record, do not offer opinions on value or ownership, and do not suggest courses of action. The record is factual and the decisions belong to the family.
Estate documentation support in Kuala Lumpur
Bringing order to a family's documents after a bereavement is rarely a task that comes with a clear manual. Papers arrive from different sources, in different formats, held by different relatives. Some have been kept carefully; others have not been seen in years. Legacia works with families in Kuala Lumpur and across the Klang Valley to take that situation and convert it into something organised, legible and ready to use.
The work covers household inventories — a written record of what a property contains — as well as larger consolidation projects that draw together documents held at multiple addresses. For families who need ongoing clerical help, a twelve-month administrative retainer provides a named administrator, a correspondence log and monthly written summaries. At every stage, the focus is on recording and organising, not on advising or directing.
Legacia does not employ solicitors, valuers or financial advisers, and it does not refer clients to any of those professionals. What it produces is a foundation — an accurate, well-labelled record — that makes those conversations easier when the family chooses to have them.
